Do you have an events coming that you would like to create and add these events linked onto your web site for people to be able to add that event to their Outlook calendar or something along those lines?
It is very easy to create one of those in Outlook and add it to your web site and let me show you how that works. So, I will show you how to set it up. I will show you how it works for the person clicking on the event, what it is going to do for them so it is very, very easy to do. It is a very quick tip.
First of all, you are going to go to your Outlook calendar and you are going to create the event on your calendar. So, here it is my on calendar and you are going to want to first of all, create the subject line obviously because this is what the person clicking on that link is going to see when they click on that I see as sort of the internet calendar item and going to obviously want to put the subject that makes sense, the start date and the times.
What is really important about the time is that you are going to have to keep in mind the time zone that you are working in. So, I happen to be in my own time zone unless you got it actually set up for 8:00 to 8:00 a.m. in the Eastern Time zone. So, I need to make sure that when I set it up in my Outlook calendar that I adjust the times appropriately because I want people no matter where they are for it to come into their calendar with the right time. So, the time is 8:00 to 8:00 Eastern so it is two hours ahead of me so in my Outlook calendar I will need to put 6:00 to 6:00 on my CS item that is Outlook calendar item.
That is really important. That is one of the things that I want to stress you about is be aware of the time zone. Obviously, if the event is in your own time zone, you are going to put the accurate time right in here but if the event is on a time zone other than you, you really have to adjust it in your Outlook calendar. Keep that in mind.
So, if you are somebody like a virtual assistant and you are doing this for your client, they are in a different time zone and their event is in a different time zone. You need to adjust it accordingly so that is very important. Next thing you are going to want to obviously have in the calendar item is the link to the actual event, a link to the web site to where it is that you are going to point them to on that day. They click on that link and they go and they put in there and log in with their passwords especially with the paid event. If not a paid event, you are going to let them know that right in here but it is free.
There is no log in to get to the events and so on and so forth and then put in any other information that you want about the event right in here. Once you do that, obviously you are going to want to save it out, you are going to want to save it in your other counter but then you are going to save it out as an internet calendar item and let me show how to do that.
We simply go up to the office button that used to be the file menu, just keep that in mind and then new version of office, office, save as, go to save as and you are going to want to make sure if this icon are format or dot ICS. Now, mine default as to that of what was perfect and give it a name then normally grabs the name of the subject in the calendar item which is fine so I am going to keep the defaults.
Right now, we are just going to save at some place local because you are going to end up doing is copying that or ftping that file up to your web site. So, I am just going to say save and then just briefly right here. I am going to show you that you need to ftp that file from your local machine up to your web server.
So, here it is. I am just going to put in the route level of my location of my server so that is fine. You can put it some place else if you want to that is not that important. You just need to know where you put it.
