If you have a Microsoft Word document with lots of different headers and sections, you could spend a long time reformatting each part whenever you want to make changes. But using the built in themes options, you can make multiple changes to your document at once. And let’s take a look at how.
Themes affect the formatting for the entire document. Each theme uses a coordinating set of colors and fonts to give your document a more professional look. We’re going to start with the document that already has some headings and texts. So, we can see the effect that changing the theme will have on the styles.
First, go up to the Page Layout tab in the top navigation and choose the Themes button. In the dialogue box, you’ll see all the different themes already built in to Microsoft Word. If you hover your cursor over each one, you can see how the changes will appear in your document. Watch the headlines and the font style. You can see they change as I hover over each theme. Again, this only works if you have already selected styles for your headlines and body font. When you find a theme you like, just click that option.
Now, you can see in the document that the font and headings have changed according to the theme. The changes appear throughout the entire document so you don’t need to go in and format each section.
Another way to make changes to your entire document at once is to choose a preset template. To do this, go up to the top navigation again and choose the Developer tab. And from the templates group, click the Option for document template. The dialogue box for templates and add-ons opens automatically and this is where you can attack a new template to your document. So, click the Attach button and in the next dialogue box, click on the name of the template that you want to apply. Finally, click the Open button to add that template.
The dialogue box to attach the template will disappear but we still have our other dialogue box open. You need to make sure that the box to automatically update document styles is checked and then click Okay. Here’s the document again with a new template styles applied. Of course if you want to make a simple change like changing the font phase or the line spacing, you can do that by typing Control A to select all the texts. And then make the changes you want using the options in the Home tab. For example here, I’m going to change the font from my entire document including the headings to Arial.
So, there you have three ways to make changes to your entire document with just a few quick keystrokes.
