If you have more than one person working on a document, it can get confusing now on who made what comment or changes. The Track Changes function can help you keep everything straight and let you decide which edits to keep and which to ignore.
The first thing you want to do if you’re going to make any changes for someone else to review is to enable the Track Changes function. So, go up to the top navigation and click Review. Here in the middle of the toolbar, you can see the option for Track Changes so click on the arrow to open the menu and choose Track Changes. First, you’ll see that the button is kind of lit up. That shows you that the feature is enabled. Now, when we go back into the document and make corrections, the edits are visible on the screen.
And in fact if anyone else works on the document there and it will show up in a different color. When you hold the mouse over a piece of text that was edited, it gives you the name of the person who made the change and the date and time when they entered it. If you want to change how edits are marked or have all the edits show up in the same color, you can change the option settings. Just go back up to the Track Changes menu and select Change Tracking options.
Here in the dialogue box, you’ll see we can change how in search and then deletions appear on the text or change the color of the editing marks. You can also change the settings so that you don’t see the mark up on the screen. Back up here on the tracking group, select the menu for final showing markup. And then just select Final. Now, you can see the edits have disappeared from the screen and only the changes I made are visible on the document. Since the Track Changes button is still selected, we know that the changes are being captured behind the scenes. You can always switch that option back if you want to see the edits again. Whenever when it’s done editing, you can decide whether to accept or reject the changes that have been made. Just go up to the Changes Section in the top menu, click the arrow beneath Accept or Reject and then decide whether you want to accept or reject the changes one at a time or all at once. And with the Track Changes function, editing is that easy.
