Our data is entered and formatted. Now we’ll show you how to print the worksheet. First we’ll preview the worksheet to see how the printed page will look. You’ll use the print preview button on the standard tool bar. When we click on it the preview window is displayed. It shows us how the whole page will look. The mouse pointer displays as a magnifying glass which we can use to get a closer look. When we click on a part of the page, we zoom into it. Notice that Excel has automatically selected to print the entire data area, which it will do unless we choose otherwise. Clicking again zooms us and back out. The print preview window includes a number of printing features.

We will look at the setup feature which lets us to control the way the page is set up. When we click on set up, we get a dialog box with lots of options including changing the page orientation. We click on cancel to close this without making any changes and were done with the preview window so we click on the close button. Now to print the worksheet we could use the print button on the standard tool bar which would send the document directly to the printer. Right now though you want to see some printing option so we open the file menu the page setup command displays the same dialog box we saw in print preview, print area lets us print a particular area on the worksheet.

Now we’ll show you the print command. We click on it and the print dialog box appears. The dialog box shows the current printer and gives us some choices about what and how to print including a choice to print just what is selected. We won’t print now so we click on cancel. The dialog box closes this is how the printed worksheet would look. Were don’t with Excel for now to quit we’ll just click on Excels close button the one at the right end of the title bar. When we do Excel closes and we are back at the Windows 95 desktop. In less than an hour, you’ve seen how quickly and easily you can create and format worksheets with Microsoft Excel 97 and there are many more features that you can explore as you enjoy learning and using Microsoft Excel.
