Well it says like I have given more planning to do. Got so much to do keeping track if it all gets kind of hectic, before I forget I’ll schedule this meeting in Outlook, right now our pass customers are shown in Outlook to switch to the calendar we’ll use it’s icon in the Outlook bar, when we do today’s schedule display this calendar looks similar to the paper calendar you’re familiar with and there are many of your calendars called date navigators. We can use to jump to dates and the time line for tracking appointments.
There’s a big difference between Outlook and paper calendar thou. Outlook will remind automatically when I have to be somewhere. Now, let’s see about that meeting, let’s see March 17th to move to the 17th I just click on it and the date navigator and it’s shown in the timeline. To schedule our meeting we simply double click on the appropriate time slot. We’ll enter the subject, new port days meeting and tab to move to the location.
Of course that will be the Ivy Lodge, not to set the start and end times because we double click on the time the starting time is already entered. TO choose the ending time we’ll click on the list there and choose 1:30 pm. I’m going to set my reminder to go off a good three hours before hand that will give me a running start. After all it is on a Monday one of my busier days. All that’s left is to invite the attendees. The meeting planner helps me to do this automatically.
When we click on the meeting planner tab we can see a graphic representation of the time set aside for this meeting. To invite the other members of the planning committee we’ll use the invite others button. When we click on it the list of our personal and business contacts is shown. To invite this people we simply click on their names and the required button.
Notice that some of the people invited have email addresses and some have faxes. Outlook will send each to tend either an email or a fax automatically when we deliver our messages. We’re done inviting these people so we’ll click on okay and we’re done scheduling this meeting. We click on the send button and our invitations are send. The icons and the appointment indicate two things, the bell tells us that we set a reminder and the people tell us it is a meeting. Of course in order for Outlook to be able to remind me at this meeting it needs to be running. This is the end of this topic, why don’t you take a few moments to practice your new skills.
